Underwriting and marketing workflow application for quote management and tracking
 
 
Customer
The customer is consistently ranked among the top HMOs in the USA for quality of care. They offer health care in New England area, primarily in Massachusetts. They offer an extensive network of over 24,000 affiliated providers, providers on staff, thousands of independent physician and group practices and 140 hospitals.
 
Challenge

The Marketing Department creates Quotes for New Business and for Renewals on existing business. The Underwriting department reviews the quote that Marketing creates. The Underwriter might deny or approve the request. On denial the Account Manager or the Sales Representative needs to recreate the Renewal or New Business quote.

The quote creation required attention from the two departments. This essentially involved scheduling meetings between them. The existing process was done on paper, our client had to print out legacy system data into paper and use a calculator to arrive at the right quote. This was cumbersome to maintain, inefficient to retrieve and unreliable to calculate.
 
Solution

Wipro used Lotus Notes and coded applications to handle New Business and Renewals quotes separately. These applications automatically send emails to the Sales Rep or the Underwriter based on the current Workflow Status of the Quote.

When the Underwriters or Sales Representative fail to respond to the quote, reminder emails are sent to the concerned person.

An Underwriter can type in text or append any picture and this gets delivered to the Sales Representative for any amendments to the denied quote. The system emails a link to the document in which all calculation and comments are stored.

Wipro also delivered a quote queue inventory tracker and dashboard application for tracking.
